Development Assistant

Buckley Country Day School seeks an administrative assistant for the Development Office. Duties include:
Database and Mailings
  • Maintain donor database of present families, alumni/ae, past parents, present and past grandparents, friends, foundations, organizations, and businesses. Keep address and constituent information accurate.
  • Enter and track all fundraising gifts including gifts in kind and accounts receivable
  • Reconcile with Business Office to ensure accurate reporting
  • Assist in the execution of weekly and monthly fundraising reports
  • Coordinate mailings to include:
  • Donor acknowledgement letters for all gifts
  • Invitations for school and Parents’ Association Events, maintain RSVP lists
  • All mailing lists for various constituent groups, appeals, and invitations as necessary
Events
  • Assist with the preparation for and execution of events, including:
    • Parents’ Association meetings– printing agendas, overseeing room set up/prep and IT needs, taking and maintaining meeting minutes.
    • Fall Fair – assist with preparation during regular work hours and throughout the event weekend (Friday, October 20 – Sunday, October 22)
    • Family Fun Night and March Madness
    • Golf Outing – assist with preparation, logistics and execution of event (5/16)
    • Other school events and assemblies as needed
    • Coordinate some event logistics and set up with Maintenance Team and Chef
Misc./Office Duties
  • Submit purchase orders and check requests, and track department expenses with Business Office and on an Excel spreadsheet
  • Update and reconcile bulk mail account with Roslyn Post Office.
  • Filing of all acknowledgement letters and back-up paperwork
  • Compile all necessary paperwork and back-up for audit testing annually
  • Assign tasks to office volunteers
  • Order office supplies as needed
Qualifications & Key Skills
  • Proficiency with MS Word and Excel, Google Drive, and aptitude for learning new software and systems
  • Experience with database and data entry best practices (Raiser’s Edge or other fundraising software preferred)
  • Excellent written and verbal communication skills
  • Strong time-management and multitasking abilities
  • Experience in customer service or similar setting
  • Ability to maintain confidentiality of the organization
  • Bachelor’s degree preferred, but not required
Full-time, hourly (eligible for overtime) Monday–Friday, 8am–4pm
Some evenings and weekends required for event staffing and preparation
